HR Services Senior Associate (Leaves of Absence) Job Summary The HR Services Senior Associate (Leaves of Absence) oversee and administer leave requests and accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans. Responsibilities Oversee the end-to-end administration of employee leave program, ensuring compliance with federal and state regulationsCommunicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leaveSupport employees with the FMLA leave administration process with our external vendor, if needed. This may include some guidance about gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave useManage and resolve complex leave cases, collaborating with HR, legal, and HRBA team; Provide guidance on challenging leave scenarios, including ADA accommodations, extended medical leaves, and other unique circumstancesMaintains reasonable communication with employees on leave to facilitate smooth and timely return to work; relays communication between employees, their managers and external vendor during leave within reasonOversees the return-to-work process for employees returning from extended FMLA, workers' compensation, or other leave(s)Facilitates accommodation requests under the ADAWork with our COE on drafts and/or recommends revisions to company leave policies to ensure compliance with federal, state, and local laws and regulationsMaintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practicesPreserves confidentiality of employee medical documentation and filesMaintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local lawsPerforms other related duties as assigned Qualifications Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable lawsExcellent written and verbal communication skillsExcellent analytical and problem-solving skillsExcellent organizational skills and attention to detailProficient in Microsoft Office Suite or similar softwareBachelor's degree in Human Resources or related field requiredTwo years of human resource experience preferredCompletion of specialized certification or training on FMLA/leave administration a plusEquinix is an Equal Employment Opportunity and, in the U.S., an Affirmative Action employer. Individual pay is based on additional factors including job-related skills, experience, and relevant education and/or training.This position may be offered in other locations. Your recruiter can share more about the specific pay range for your preferred location during the hiring process.The targeted pay range listed reflects the base pay only and does not include bonus, equity, or benefits.
